Position Summary

Odyssey Systems has an exciting opportunity providing Advisory and Assistance Services supporting the US Space Force and its mission to Protect and Defend National Security Interests in Space as a member of the Space Warfighting Analysis Center (SWAC) team. As a SWAC Executive Administrator, you will provide support to senior executives of Space Warfighting and Analysis Center (SWAC) Offices within the in the National Capital Region (NCR).  The primary responsibility will be to optimize the day-to-day operations of the SWAC Intelligence Director (ID), Joint Sensitive Space Staff Director (JS3), and the Surveillance, Reconnaissance, and Targeting Tracking (SRTT) Division Chief, providing comprehensive knowledge of SWAC Divisions’ responsibilities, projects, and daily business practices to maximize office effectiveness. This is a full-time position in the Aerospace facility at 14745 Lee Road, Chantilly, VA.

Responsibilities

An A&AS contractor is a knowledgeable and trusted advisor to the Government. As a SWAC Executive Administrator, you will take direction directly from the SWAC leadership, serve as a strategic advisor to optimize the day-to-day operation of the SWAC offices in the NCR and coordinate with SWAC personnel in the Colorado Springs, CO.

 

Duties include, but are not limited to: 

 

  • Manage the ID, JS3, and SRTT leadership’s dynamic daily calendars and travel schedules, interfacing with senior officers/executives from multiple military commands and intelligence agencies and facilitating communication between SWAC senior executives and staff.
  • Schedule meetings/events to maximize ID, JS3, and SRTT leaderships time.   Identify meeting participants, subject matter experts (SMEs) and required materials to thoroughly address the issue.  
  • Arrange travel plans for the ID, JS3, and SRTT leadership, using the Defense Travel System (DTS), to find and book optimal flights, lodging, and ground transportation to meet mission requirements.  
  • Assist with preparation of travel vouchers in the DTS following trips and perform records management and gather/develop all necessary paperwork/documentation in support of ID, JS3, and SRTT leadership travel.
  • Helps ensure the Directors are thoroughly prepared for each scheduled event, to include scheduling preparation time, providing read-ahead materials, biographies of participants, subject matter experts, and arranging advanced meetings, as required.  
  • Prepare correspondence, handle information requests, and perform functions such as answering phone calls, organizing and scheduling meetings/VTCs, arranging conference calls, receiving/escorting visitors, writing meeting minutes as required, making copies and managing functions such as mail, courier service, records management, etc.  
  • Track and manage work tasks/action items using Task Management System (TMT)
  • Assist in organizing and managing extensive volumes of data in organizational shared drives
  • Perform broad office duties such as ordering supplies, retrieving and filing ID, JS3, and SRTT documents and receiving, sorting and distributing incoming correspondence
  • Assist security personnel with security clearance verification, building access, data transfers, processing visit requests, etc, as required
  • Travel to CONUS and OCONUS locations at the request of the Government
  • Other duties as required/requested by the Government within the constraints of the S3 contract

Qualifications

Minimum Requited Qualifications:

Citizenship:  Must be a US Citizen

Clearance:  Active Top Secret/SCI clearance, agreeable to polygraph

Education:  Bachelor's degree

Years of Experience:  5 years of experience in a similar role supporting Senior Executives in classified environments

 

Other Qualifications:

  • Exceptional professionalism and strong experience exercising discretion and confidentiality with sensitive information
  • Exceptional interpersonal and communications skills via phone, email and in-person
  • Demonstrated ability to interact and build effective relationships and teams with government customers, FFRDCs, and contractors, working in a highly dynamic environment
  • Self-motivated with the ability to work independently as well as collaboratively and effectively in a fast-paced environment
  • Exceptional writing skills and ability to effectively communicate with senior government leaders
  • Proficient with security processes/procedures (e.g., document marking/handling, generating and transmitting classified visit requests) in TS/SCI and SAP environments
  • Capable of opening/closing SWAC office spaces
  • Strong experience with office management procedures, equipment and information management systems such as on-line calendars, AFSPC Task Management Tool (TMT), security clearance visit request information systems, etc.
  • Proficient in Microsoft Office applications (i.e., Word, PowerPoint and Excel)

Preferred Qualifications:

Clearance:  Active TS/SCI clearance with current polygraph

Other Qualifications:

  • Prior experience as an A&AS contractor in a DoD, MDA, or IC organization

  • Travel: Up to 10% to CONUS and OCONUS locations upon Government direction

Please note: Final compensation for this position will be determined by various factors such as the Federal Government contract labor categories and contract wage rates, relevant work experience, specific skills and competencies, geographic location, education, and certifications.
