Our customer MIT LL is looking for a Administrative Assistant located in Ft Meade Maryland who will be involved in research and system engineering/application efforts centered on enhancing the capacity and the flexibility of future generations of communications satellites for the US Government. The 120-member group consists of researchers and support staff focused on architecture design, technology development, and large-scale experimentation.
The candidate will manage multiple calendars, a conference room calendar and group status board as well as coordinate internal and external visits and meetings and maintain office equipment and supply levels.
The candidate will be the property coordinator for the group and serve as the point of contact for property. The candidate should possess the ability to set priorities and manage multiple concurrent tasks.
The candidate must possess effective written and oral communication and interpersonal skills, and the ability to work independently under minimal direction and to effectively monitor details.
The candidate will process site needs for supplies using SAP/SRM, submit facilities requestes and IT work orders, as well as data entry into a variety of Laboratory web-based forms, submitting release reviews, typing and editing memorandums, creating and maintaining spreadsheets, drafting and editing presentations, composing and archiving correspondence for the office.
The candidate should possess a high level of professionalism in communication with management and external parties and an effective level of discretion in handling sensitive information as well as in escorting visitors.
Coverage of front desk during core hours of 0900-1500
Performs reception functions for the office: signing-in, badging, signing-out, collection of badges.
Support in-progress meetings including making photocopies, assisting with distribution of meeting materials, assisting with catering arrangements if the need arises.
Maintaining currency on badge registrations in badge reader and alarm control systems
Serve as facility host for meetings which do not have a primary local Lincoln Laboratory participant (example is use of the facility by DHS for threat indicator sharing working groups, or meetings sponsored by professional societies)
Maintaining cognizance of office supplies and taking action to maintain a minimum stock of office necessities (paper, pens, notepads, print toner, etc.)
Receiving mail (mailbox in first floor service corridor) and packages shipped to the office.
Distributing light mail and packages to the recipients.
Acknowledge shipments from other Laboratory locations in accordance with procedures.
Arranging shipping for materials and equipment as required.
Assistance with projects for preparation of presentations, distribution of materials, tracking of project inputs from external participants, and distributing feedback on those comments, assisting with updates of large documents.
Potential requirement for facility reception 1 – 2 late evening meetings per month (example is Baltimore Section IEEE Executive Committee meeting the 2nd Monday of each month Sept – June.)
