Position Summary

Odyssey Systems is looking for a senior level administrative specialist that will be critical to the day-to-day administrative operations of an ACAT-1D System Program Office.

 

Responsibilities

Specifically, the successful candidate will be executing any and all administrative tasks for a branch (or branches) within an ACAT-1D program office/division construct. Branches are led by Air Force Material Leaders, typically a Lt Col (O-5) or a GS-14 level acquisition professional and will be the primary supported customer. The candidate will be part of the program office/division administrative team and will be working closely with the other branch administrative personnel, solely made up of contractor support personnel. Interface with personnel in the assigned branch(es) will be required as well as with the division leadership group. Some tasking for EPASS contract-specific activities should be expected.

 

Duties include, but not limited to: 

  • Perform administrative support tasks, from receptionist and visitor control tasks to the preparation, coordination, and publication of a wide variety of documents, graphics, presentations, spreadsheets, schedules, and other administrative products.
  • Operates with broad direction to support administrative functions, with focus on administrative processes, procedures, tools, and protocol to perform a robust range of administrative tasks, such as maintaining executive schedules and communication, overseeing the administrative operations of a large office or organization, and coordinating large events requiring substantial discretion and attention to protocol.
  • Maintain appointment calendars, VTC and conference room schedules.
  • Schedule meetings and conferences including those involving staff from outside the immediate office.
  • Answers telephones, forwards messages and provides responses to routine queries.
  • Assist in coordinating, consolidating, analyzing, distributing and monitoring action items, suspenses, and responses.
  • Assist in preparing and updating program office file management documents.
  • Prepare agendas, reports, and briefings for staff meetings.
  • Ensure administrative taskers/packages meet or precede their suspense deadlines
  • Draft, edit, and staff both military and civilian appraisals and Awards and Decorations.
  • Perform additional administrative tasks as required in support of customer organization.
  • Have access to and perform administrative duties in ATAAPS and DTS.
  • Develop and improve new or existing organization process guides and processes e.g. the End-of-Day checklists, In-processing, Out-processing, and recall-rosters.

 

 

Qualifications

  • Active Secret Clearance, less than six years old at time of hire
  • Associates + 15 yrs. RE or Bachelors + 10 yrs. RE or Masters +7 yrs.

Please note: Final compensation for this position will be determined by various factors such as the Federal Government contract labor categories and contract wage rates, relevant work experience, specific skills and competencies, geographic location, education, and certifications.
